IN A NUTSHELL

We're looking for a Portfolio Manager (6-month FTC) to own Bulk's change portfolio and run our PMO. You'll look after around 30 board-visible, high-priority, high-materiality projects, within a wider pool of 60–80 initiatives running across the business at any one time.

You'll work with the board to prioritise where we spend time and money, manage capacity across teams, and own the end-to-end delivery process. We're a small central team and expect people across the business to run their own projects, so a big part of the role is upskilling them to do it well as skill levels vary across the team. You might also step in to project manage our most critical projects – where the stakes are highest and we don't have the capacity elsewhere. Typically we would expect this to be around 30% of your work the balance will vary across the year.

We expect you to be AI-fluent: using AI to sharpen how we run projects and the portfolio, and keeping pace with new developments so the wider business benefits too.

Reporting to our CFO, this is a chance to shape how a fast-growing, ambitious business decides what to do, and then makes sure it gets done.

WHAT WILL YOU BE DOING? 

Portfolio Management & Board Reporting

• Own the end-to-end portfolio of 60–80 initiatives, with a focus on the ~30 board priorities high-materiality projects.

• Maintain a single, trusted view of the portfolio: status, cost, timelines, risks, dependencies and benefits with direct reporting into the Board.

• Produce the board pack and portfolio reporting, calling out what's off track and what decisions are needed.

• Challenge business cases and benefit claims so the numbers stand up – including risk mitigation, compliance exposure and strategic value, not just headline savings.

• Track benefits through to realisation, flagging slippage and premature benefit booking.

Prioritisation & Capacity Management

• Work with the board and leadership team to rank and re-rank the portfolio so we're spending time on the right things.

• Run capacity planning across the business, so priorities match what teams can actually deliver.

• Surface trade-offs early and clearly: what stops, slows or waits when something new comes in.

• Run the intake and approval process for new initiatives, with right-sized gating that doesn't slow delivery.

Project Framework & PMO

• Own Bulk's end-to-end project management process, from idea and intake through business case, discovery, delivery and benefits realisation.

• Iterate and develop the process as the business grows, keeping it lean and fit for purpose.

• Run the PMO: standards, templates, tooling (Asana) and the governance rhythm around them.

• Make sure every project is tracked appropriately, with the right level of governance for its size and risk.

• Continuously improve the PMO.

Initiative Shaping

• Work with sponsors to shape new initiatives: framing the problem, options, scope and expected benefits.

• Support the business in composing business cases and project initiation documents (PIDs) for priority initiatives, ensuring and driving up quality.

• Set the standard for what a good business case and PID look like at Bulk.

Upskilling the Business

• Federate project management across the business. We're a small central team, and expect the business to be able to run their own projects where appropriate.

• Help teams understand what good looks like and how to do it themselves, through guidance, templates, training and coaching.

• Design and deliver project management training for project owners and managers across the business.

• Build engagement with the process, so teams see it as useful rather than admin.

AI in Project & Portfolio Management

• Use AI to enhance project and portfolio management: reporting, RAID and status tracking, analysis, and drafting business cases and PIDs.

• Build AI into the delivery framework and templates, so teams across the business get the benefit too.

• Keep up with developments in AI and apply them to your own work and across the business.

• Help teams adopt AI tools in how they plan and run their projects.

Hands-on Project Delivery

• Step in to project manage high-priority projects that need dedicated attention, either because of their materiality or because we lack capacity elsewhere.

• Ensure steer-cos are run effectively and professionally and drive the right risk management and decision making from the leadership team.

• Own plans, RAID logs, budgets and stakeholder management on those projects, holding internal teams and third parties to account.

• Use delivery experience to keep PMO standards practical and grounded.
  

WHAT SUCCESS LOOKS LIKE:

• The board trusts the portfolio view and uses it to make decisions.

• Priorities are explicit, and capacity is allocated to match them.

• Every project is tracked to a consistent standard, without chasing.

• Teams across the business can run their own projects to the Bulk standard, with minimal central support.

• Benefits are credible when approved and evidenced when delivered.

• AI is built into how we run projects and the portfolio, not bolted on.

• The most critical projects land on time and on budget.

WHAT ARE WE LOOKING FOR? 

HARD SKILLS / EXPERIENCE / QUALIFICATIONS:

• Proven experience as a Portfolio Manager, PMO Lead or Programme Manager, owning a portfolio of 30+ concurrent projects.

• Track record of board or exec-level reporting, and of driving prioritisation decisions with senior leaders.

• Hands-on project management experience delivering complex, cross-functional projects end to end.

• Experience setting up or maturing a PMO: standards, governance, tooling and reporting.

• Experience designing and delivering training or capability-building for non-specialist project owners, ideally in a federated delivery model.

• Strong commercial and financial grounding: writing business cases and PIDs, budgets, benefits tracking and capacity modelling.

• Hands-on use of AI tools to improve project and portfolio management, with examples to show.

• Background in a scale-up or fast-moving environment, ideally DTC, ecommerce, retail or FMCG.

SOFT SKILLS / PERSONALITY TRAITS:

• AI-fluent: curious about AI, keeps pace with new approaches and quick to put them to work.

• Has the gravitas to challenge senior stakeholders and hold them to account.

• Pragmatic: right-sizes governance to the project, not the textbook.

• Brings structure to ambiguity and stays calm across competing priorities.

• Clear, confident communicator, in writing and in the room.

• Sharp eye for data quality: spots when numbers don't add up.

• Comfortable switching between portfolio-level and hands-on delivery.

• Can galvanise the team in challenging circumstances and can create connections across the business to ensure project delivery.

NICE-TO-HAVES:

• Formal certification (MoP, MSP, PRINCE2, PMP, Agile/Scrum).

• Experience with Asana or similar work management tools.

• Experience deploying AI tools to a wider team, beyond personal use.
